How to recall an email

Short answer: Try recall immediately: in most mail clients you open the sent message and choose the recall or unsend option. It only succeeds inside the same mail system and usually only before the message is read. If it fails, containment — revoking access to the document, informing the recipient, and logging the incident — matters more than the recall itself.

Step 1: act in the first seconds

If your mail client offers "undo send", it only lasts for a short configurable window. That window is the single most reliable chance you have.

Step 2: attempt recall

Open the message in your sent folder and look for the recall or unsend option. You will normally be asked whether to delete the message or replace it with a corrected one.

Step 3: check whether it worked

Recall reports are unreliable. Assume failure unless you have confirmation, especially if the recipient is outside your organisation.

Step 4: contain instead of recall

  • If the sensitive part was a document sent through a controlled link, revoke access now — this works regardless of whether the email was read.
  • Tell the recipient plainly and ask them to delete it. A direct request works more often than a silent recall.
  • Record what happened, who received it and when. Regulated work needs this anyway.
  • If the document contained personal or regulated data, follow your organisation's incident process.

Step 5: make the next one recoverable

The permanent fix is to stop attaching confidential files. Send a FINIS link instead: you can revoke access, destroy the document, set it to expire, and see whether it was opened at all.

How FINIS handles this

FINIS is a post-send control platform for documents. You send the file as a FINIS link instead of an attachment, and the controls stay with you.

Revoke access

End access to a document after it has been sent, even after it was opened.

Destroy

Erase the document itself and keep a record that it was destroyed.

Track opens

See when the document was opened and how it was accessed.

Auto-expire

Give the document a lifetime at the moment you send it.

Device lock

Restrict the document to approved devices.

Authenticity seal

Prove the document came from you and has not been altered.

Questions

How do I recall an email?

Open the message in your sent folder and choose the recall or unsend option. It works only within the same mail system and usually only before the message is read.

How long do I have to recall an email?

Undo send windows are typically only seconds long. True recall has no fixed window but becomes ineffective as soon as the message is read.

What should I do if recall fails?

Contain it: revoke access to the document if it was sent as a controlled link, ask the recipient to delete the message, and record the incident.

Can I stop the attachment from being opened?

Not with a normal attachment. If the file was shared as a FINIS link, you can revoke access or destroy the document at any time.
