Email recall: what it actually does

Short answer: Email recall attempts to delete a sent message from the recipient's mailbox. It only works inside the same mail system, usually only before the message is read, and it cannot touch a copy that was forwarded, downloaded or synced. For anything confidential, controlling access to the document is more reliable than recalling the message.

Recall is one of the most misunderstood features in email. People assume that pressing it removes the message. In practice it sends a request that the recipient's mail system may ignore.

When recall tends to work

  • Both sender and recipient are on the same mail system or organisation
  • The message has not been opened yet
  • The recipient's software honours the recall request
  • No rule has already moved, archived or forwarded the message

When recall fails

  • The recipient is on a different provider entirely
  • The message has already been read — many systems then leave it in place
  • The attachment has been downloaded, printed or forwarded
  • The recipient is notified that you tried to recall, which draws attention to the mistake

There is also the difference between recall and "undo send". Undo send simply delays delivery for a few seconds so you can cancel before the message actually leaves. It is useful, but it expires almost immediately and does nothing once the message has gone.
